Before quotation

Start a sourcing conversation. Build the specification for a firm quote.

Not ready for a full specification? Start with your business type, market, product direction, and approximate quantity. Use this matrix to fill the gaps before a firm quotation; you can ask an initial question while sizes or packing are still open.

Mattress quotation checklist before distributor order

Direct answer

Use a matrix instead of a universal specification list.

Sipu Mattress does not treat one fixed specification sheet as suitable for every project. Send what is known, mark what is optional, and identify which points must be confirmed by sample or destination review.

First conversationBusiness type, market, product direction, and approximate quantity. Add known dimensions; mark unknown details as open.
Before a firm quotationCompany, destination, selected model, size with unit, and quantity by model and size, followed by the agreed construction and commercial scope.
To be confirmedMaterial grade, tolerance, compression suitability, carton data, load plan, standards, testing route, and final lead time.
Confirm by sampleComfort reference, hand feel, quilting appearance, finished height, edge feel, and other points that cannot be closed by words alone.

Direct fit for a Sipu quotation

MOQThe standard minimum is 10 mattresses for each model. Quantities from different mattress models cannot be combined to reach the minimum.
To start a conversationTell us who you buy for, your market, the mattress direction, and approximate quantity. A complete size breakdown is not required to ask about options. The Project Brief also asks for your company and a reply route.
Confirmed at quotation stageMaterial stack, finished height, comfort reference, fabric and quilting, label and packing, standards or test route, trade term, and target timing.
Evidence and next stepCheck the export supplier scope, review the pre-shipment proof-pack method, then send the structured Project Brief.

Four input groups

The project matrix used before a formal quotation.

1. Core project inputs — Before a firm quotationCompany and buyer type; hotel, resale, accommodation, or other B2B use; country and city; each model and size with its quantity.
2. Product variables — Optional / To be confirmedFoam or spring direction, finished height, firmness reference, fabric, quilting, label, edge support, roll or flat packing, and target tier.
3. Smart variables — Required when applicableModel direction, lift or massage function, voltage, frequency, plug, control method, buyer-supplied base dimensions, and destination.
4. Project controls — Project specificRequested fire or laboratory requirements, destination rules, sample approval, Incoterm, delivery target, inspection need, carton marks, and change-control points.

Specification boundary

Examples on this page are input examples, not stock specifications, guaranteed ranges, certificates, or formal quotations. Final values are confirmed for the selected model, order quantity, production route, and destination.

Quotation details

Information that helps us quote correctly.

01

Business use

Tell us if you buy for resale, wholesale, furniture retail, hotel project, staff accommodation, distribution, or another B2B use. One-piece retail requests are not handled through this quotation route.

02

Market and city

Send your country and city. Local market size, delivery planning, and product level can be different by region.

03

Model details

Send product type, structure, size, thickness, firmness target, fabric preference, and exact quantity for each item.

04

Shipping basis

Tell us your destination port or city, and whether you have your own freight forwarder or customs clearing agent.

Input example—not a stock specification

A clear request is easier to quote.

Instead of sending only "I need 100 mattresses", send a line-by-line list. This helps the factory check material, production, packing, CBM, and container loading.

Each example line below represents one independent mattress model. Every model line is at least 10 mattresses; quantities from different models are not combined to meet the MOQ.

  • Foam mattress / 75 x 54 x 10 inches / medium firm / 20 pcs / roll-compressed
  • Pocket spring euro top / 75 x 72 x 10 inches / firm / 20 pcs / roll-compressed
  • Memory foam pillow top / 75 x 84 x 12 inches / medium firm / 10 pcs / flat packing
  • Destination: Lagos, Nigeria. Buyer has own freight forwarder and clearing agent.

Why details matter

Same size does not mean same price.

Two mattresses can have the same size and thickness but very different factory costs. Structure, foam density, spring system, fabric, quilting, edge support, compression, carton, and order mix all affect cost.

StructureFoam, pocket spring, bonnell spring, euro top, pillow top, and memory foam layers require different materials and production.
Comfort levelSoft, medium, firm, hotel comfort, and retail comfort can use different foam and spring combinations.
PackingRoll compression may reduce freight volume, but not every structure is suitable for the same compression method.
Order mixMany small-quantity sizes may change production efficiency, packing plan, and quotation basis.

Packaging specification checklist

What should a mattress packing approval record include?

Checklist revised .

Keep these five references with the same model and specification revision. Mark unconfirmed items as requested or to be confirmed; do not treat a sample photo as approval for every size or repeat order.

Packed dimensionsRecord the packed length, width and height for each model and size, plus the agreed measurement method and any tolerance. Do not substitute the unpacked mattress dimensions.
Carton and printIdentify the agreed carton material, artwork revision and which sides carry print. A carton photograph alone does not establish its strength or performance.
Model and revision labelMatch the model, size and specification revision on the label to the approved order line so the receiving team can identify the intended version.
Barcode and market textConfirm the buyer's barcode content, language and destination-specific wording before print approval. Required market or compliance wording needs separate verification.
Packing method and referenceRecord whether the accepted method is flat packed or roll-compressed, and link the approved packing sample or reference photos. Suitability must be checked for the specific mattress structure.

Before release, compare the actual package with that approved record and note any mismatch for resolution. For related steps, see roll-compressed mattress planning and the pre-shipment evidence method.

Buyer FAQ

Common mattress quotation questions.

Why is a photo not enough for a quotation?

A photo does not define size, height, internal structure, firmness, quantities, labels, packing, destination or delivery scope.

What quantities should be listed?

Record quantity by model and size. Regular orders start from 10 mattresses per model, and different models cannot be combined to meet the minimum.

What changes the delivered cost?

Product structure, size, quantity, packing, labels, destination, shipping terms and current freight or material inputs can all affect the final cost.

How should alternative options be compared?

Compare each option against the same matrix and revision so a lower price is not created by silently changing materials, packing or scope.

When is a quotation ready to approve?

Approval is clearer when specification, quantity, packing, labels, destination, validity and excluded responsibilities are all recorded.
